1. Your agreement with FD Maintain

These Terms of Service govern your use of the website and services provided by FD Maintain, LLC, located in Illinois, USA ("FD Maintain," "we," "us," or "our"). By using the services, you agree to these terms. If you use the services for a fire department, service provider, or other organization, you must have authority to act for that organization.

A separate signed agreement or order governing your organization’s services controls if it conflicts with these terms. Subscription fees, payment schedules, renewals, and cancellation arrangements are those stated in your applicable agreement or order.

2. Accounts and authorized use

Use the services only for lawful purposes and within your assigned permissions. Your organization is responsible for the users it authorizes, the accuracy of information it supplies, and keeping account credentials secure. Notify us through our contact form if you suspect unauthorized access.

Do not access another organization’s records without permission, bypass security or access controls, interfere with the services, introduce malicious content, or upload or connect information you are not authorized to provide.

3. AI analysis and equipment decisions

FD Maintain uses artificial intelligence to analyze fire department equipment information and supporting records. Depending on the enabled features, this may include equipment details, inspection and maintenance history, test results, service documents, and information submitted in questions or uploads. AI can help summarize records, identify information that needs attention, and support equipment and service workflows.

AI outputs may be inaccurate, incomplete, or out of date. Review outputs against the original records, manufacturer instructions, applicable standards, and the judgment of qualified personnel before acting. The services do not inspect physical equipment or certify safety, fitness for service, or regulatory compliance. Readiness indicators describe recorded evidence; they are not permission to place or keep equipment in service.

Your organization and its qualified personnel remain responsible for inspections, maintenance, compliance determinations, and operational decisions. The services are not an emergency-response system or a substitute for professional engineering, safety, or legal advice.

4. Connected service-provider inboxes

Connecting an inbox requires authorization from its owner or an authorized organization administrator. You are responsible for obtaining the permissions and notices required to process the messages, attachments, and personal information in that inbox.

When an inbox is connected, enabled features may access and analyze email content, message details, and attachments for email classification and productivity enhancements. These purposes include organizing inquiries, summarizing conversations, extracting relevant business information, and assisting with service workflows. Attachment analysis applies where that capability is enabled; connecting an inbox does not mean every attachment is analyzed automatically.

Relevant content may be processed by AI providers supporting these features. Connected email data is never sold, used for advertising, or used to train general-purpose AI models, including by our AI providers. The Privacy Policy describes processing, sharing, retention, and your controls.

The native Google inbox connection requests read-only access. Connecting it does not itself authorize sending email, changing Gmail messages, or making purchases or commitments. Separate workflows have their own permissions and configuration. Review classifications and extracted information before relying on them.

You can disconnect an inbox to stop future synchronization and connected attachment access. Retained records continue under the selected retention policy. Disconnecting does not delete originals held by your email provider or revoke an administrator’s domain-wide Google Workspace grant.

5. Your content and our services

You and your organization retain your rights in the content you provide. You grant FD Maintain permission to host, copy, process, and transmit that content as needed to provide the services you authorize, including the AI processing described in these terms and the Privacy Policy. This permission does not authorize selling connected email data, using it for advertising, or training general-purpose AI models with it.

FD Maintain and its licensors retain their rights in the software, website, branding, and other service materials. These terms grant access to the services; they do not transfer ownership of our intellectual property. AI outputs may not be unique, and you are responsible for checking their accuracy and your right to use them.

6. Availability and third-party services

Features depend on your organization’s configuration, access rights, subscription, and connected services. Third-party email, hosting, and AI services may impose their own terms and availability limits. We do not guarantee uninterrupted access or error-free AI output.

To the extent permitted by applicable law and except as expressly provided in a separate agreement, the services are provided as available without implied warranties of merchantability, fitness for a particular purpose, or non-infringement. Nothing in these terms excludes a warranty, right, or liability that cannot lawfully be excluded.

7. Suspension and ending access

We may restrict or suspend access where reasonably necessary to address unauthorized use, a security threat, a material violation of these terms, or a legal requirement. Your organization may stop using the services and request account closure through our contact form, subject to its applicable agreement.

Ending access does not automatically erase all records. Retention, deletion, backups, and records already incorporated into authorized business workflows are addressed in the Privacy Policy and your organization’s agreement.

8. Applicable law and updates

These terms are governed by the laws of Illinois, USA, without regard to conflict-of-law rules, except where mandatory law or your organization’s separate agreement requires otherwise. Nothing in these terms waives statutory protections or governmental rights that cannot lawfully be waived.

We may update these terms as the services or applicable requirements change. We will publish the updated terms and revision date on this page and provide any additional notice or consent required by law or your agreement. Changes do not retroactively authorize a new use of previously collected data.

9. Contact us

For questions about these terms, contact FD Maintain, LLC, Illinois, USA, through our website contact form. Identify your organization and describe your request without including passwords, authorization tokens, or sensitive email contents.
